Flexible, hybrid role for Onboarding Specialist, salary is €36,000 per annum.

The role of Onboarding Specialist is a key role within a busy team that hires approximately 800 people each year. The successful candidate will ensure that every new hire experiences a professional, well‑managed and fully compliant onboarding process from the moment their offer is accepted.

 

About the Role

The Onboarding Specialist will manage the end‑to‑end onboarding process, ensuring all documentation, checks and communications are completed accurately, confidentially and in line with employment legislation and organisational policies. Working closely with recruiters, hiring managers, HR colleagues and candidates, the Specialist provides a consistent point of support and guidance throughout the pre‑employment journey.

This position requires strong attention to detail, the ability to manage high‑volume workloads, and confidence handling sensitive information. The role also supports wider Talent Acquisition activities, including interview scheduling, communication with applicants, data management and general administrative support.

 

Key Responsibilities

  • Manage the full onboarding process from offer acceptance to start date
  • Prepare, collect and verify new hire documentation with an emphasis on accuracy and compliance
  • Maintain digital employee files and ensure adherence to data protection requirements
  • Process Garda Vetting documentation and liaise with internal stakeholders as needed
  • Coordinate high‑volume interview scheduling across multiple locations
  • Communicate with candidates promptly and professionally, ensuring a positive experience
  • Support recruiters in administrative processes relating to job offers and documentation
  • Assist with job postings, candidate correspondence and scheduling when required
  • Maintain and update recruitment systems and reports to support departmental operations

Skills and Experience

  • 1–2 years’ experience in an administrative or coordination role
  • Proven ability to manage detailed, time‑sensitive tasks in a fast‑paced environment
  • Excellent organisation, communication and interpersonal skills
  • Ability to work independently while building effective working relationships
  • Strong proficiency in Microsoft Office
  • Experience with HRIS, ATS or recruitment administration is an advantage
